The Challenge

The client needed a measured survey and existing drawings to support a loft conversion and side garage conversion into additional habitable accommodation. Access had to be coordinated via an estate agent because the purchaser had not yet completed the purchase, and the current occupiers initially refused entry until contracts were exchanged.

There were also appointment changes around bank holidays and availability, which created uncertainty on site. During the eventual visit, there was confusion about the survey scope (the occupiers had been told it would be a short external visit), so clear communication and a single point of contact became important to keep expectations aligned.

A key requirement for the wider team was confirming that the survey captured the internal information needed to build a planning-ready package, including loft access arrangements (ladder requirements where access was limited).

Our Solution

PlanCraftDaily coordinated survey scheduling with the project lead and the estate agent, confirming attendance windows and on-site contacts for smooth access. The survey was successfully carried out with internal details captured, addressing the critical requirement for producing the client’s planning package.

Following the site visit, the team progressed the drawings through internal quality assurance and then issued a complete draft drawings pack for client review. This structured approach ensured the drawings were checked for consistency and completeness before final handover.

After review, PlanCraftDaily issued the final drawings and related files, providing the CAD (DWG) and PDF drawing set alongside a supporting photographic record of existing conditions.

The Process

Agreeing Scope, Fee and Friday Access
Confirmed the survey purpose and required outputs to support a loft conversion and side garage conversion planning brief. Agreed coordination approach due to third-party access constraints via the estate agent and clarified key on-site needs, including loft access and the importance of capturing internal information.
On-Site Survey
Arranged an appointment window and confirmed the on-site contact, with the estate agent kept informed of arrival timing. Managed date changes around availability and holidays and aligned expectations on survey duration and scope to reduce the risk of misunderstandings during the visit.
Cross-Checking Before Leaving
Completed the survey visit and captured the internal details required for the planning package. Where loft access was uncertain, arrangements were confirmed in advance so the surveyor could prepare appropriately. Any on-site confusion about scope was flagged promptly for resolution with stakeholders.
Turning Survey into Plans and Elevations
Converted survey notes into a coordinated drawing set and moved into an internal quality assurance phase. The QA review focused on completeness and consistency across drawings before issuing a draft pack, helping ensure the output aligned with the client’s expectations and downstream planning needs.
Draft Review and Final Handover
Issued the draft drawings pack for review, then finalised the drawing set and delivered the agreed outputs. Final handover included CAD (DWG) files, PDFs, and supporting site imagery so the wider team could proceed with design development and preparation of the planning submission materials.
