Surveys inside occupied properties. Photographs and laser scans record the inside of a building. They can sometimes capture people, belongings or documents by accident. We ask occupiers to clear personal items where possible, we avoid photographing people, and we delete or blur accidental captures that are not needed for the drawings.

Where the information comes from. Mostly from you. We may also receive it from your architect, agent, solicitor or contractor, from tenants or occupiers when arranging access, and from public records such as HM Land Registry and local planning authority websites.

We do not ask for sensitive information such as health or religious details. Please do not send it to us unless it is needed, for example to arrange a suitable survey visit.

4. Improving our service

We review our project records to understand how our service is working and where we can do better. This includes how long each stage of a job takes, how often drawings need revising, and where delays happen.

To do this we may use job references, dates, the general location of the property and our correspondence with you. Wherever we can, we remove names and contact details first. Any results we use outside the business are fully anonymised, and we will never publish your name, address or the fees you paid.

You can object to this use at any time by emailing us (see section 11).

5. Who we share your information with

We never sell your personal information. We only share it where needed, with:

  • Our surveyors and CAD technicians. Some are freelancers working for us under written agreements that include confidentiality and data protection terms.
  • Software providers that help us run the business, including project management, email, file storage, messaging, accounting and artificial intelligence tools. They act on our instructions and may not use your data for their own purposes. Our main providers are Trello (project management), Google Workspace (email and file storage), WhatsApp (messaging), QuickBooks (accounting), Hostinger and Vercel (website hosting), and OpenAI and Anthropic (artificial intelligence tools).
  • Local planning authorities, when you ask us to prepare or submit planning material. Councils usually publish planning applications and drawings online.
  • Other people you ask us to work with, such as your architect, agent, contractor or solicitor.
  • Our professional advisers and insurers, where needed to run the business or deal with a claim.
  • Authorities or courts, where the law requires us to.

If Plan Craft Daily is ever sold or merged, your information may pass to the new owner, who must continue to protect it in line with this policy.

6. Transfers outside the UK

Some of our software providers are based in the United States, and some members of our team work from the United States, Bangladesh and Pakistan. This means your information may be accessed or stored outside the UK.

When this happens, we make sure it is protected by one of these safeguards:

  • a UK government adequacy decision (“data bridge”) for that country
  • the UK Extension to the EU-US Data Privacy Framework, for certified US providers
  • the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses

You can ask us for more detail about the safeguards we use.

We may keep information longer if we need it for an ongoing complaint, claim or legal requirement. Anonymised statistics, which cannot identify you, may be kept indefinitely.

8. Keeping your information safe

We use reasonable technical and organisational measures to protect your information. These include password-protected accounts with two-step verification, giving team members access only to the jobs they work on, and confidentiality terms with everyone who works for us.

No system is completely secure. If a data breach is likely to put your rights at risk, we will report it to the Information Commissioner’s Office within 72 hours and tell you without undue delay where the law requires.

9. Marketing

If you download one of our guides or sign up for updates, we will send you emails about our services with your consent. If you are an existing client, we may also send you occasional emails about similar services we offer, unless you told us not to.

Every marketing email has an unsubscribe link, and you can also email us to stop at any time. We will never share your details with other companies for their marketing.

11. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information
  • ask us to limit how we use your information
  • object to us using your information based on legitimate interests, including the service analysis in section 4
  • object to marketing at any time, which we will always respect
  • ask us to send your information to you or another organisation in a usable format
  • withdraw your consent at any time, where we rely on consent

Some rights have limits. For example, we may need to keep invoices for tax purposes even if you ask us to delete them. If so, we will explain why.

To use any of these rights, email contact@plancraftdaily.co.uk. It is usually free, and we will reply within one month.

12. Freelancers, job applicants and suppliers

Freelancers and subcontractors. We hold your contact details, identity and right-to-work checks where needed, payment and bank details, your agreement with us, and records of the work you do, such as Trello activity, project messages and files. We use this to manage and pay you, meet our legal and tax obligations, and understand turnaround and workload across our jobs so we can improve our processes. Our lawful bases are contract, legal obligation and legitimate interests. Your freelancer agreement gives more detail. We keep these records for six years after our working relationship ends.

Job and freelance applicants. We hold your CV, contact details, portfolio and interview notes. We use them only to assess your application, based on the steps needed before a contract and our legitimate interests. If you are not taken on, we delete them within six months unless you agree we can keep them for future roles.

Suppliers and business contacts. We hold work contact details and records of our dealings, such as orders and invoices, to manage the relationship. Our lawful bases are contract and legitimate interests. We keep financial records for six years and delete contact details when they are no longer needed.

The rest of this policy, including your rights, sharing, overseas transfers and security, applies to all of these groups too.

13. Complaints and changes to this policy

If you are unhappy with how we have handled your information, please contact us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The latest version will always be on our website, with the date it was last updated at the top. If we make an important change, we will tell current clients directly.
