The Challenge

The client needed a measured survey and a full set of existing drawings showing plans, elevations and site boundaries at 1:100 on PDF sheets, including drawn scale bars and north points, to support onward design work.

Site access needed to be straightforward because the property was empty and the contact might be away on a job during the survey window. The team therefore had to coordinate entry securely and confirm the best way for the surveyor to obtain access details close to arrival.

A further requirement was to provide a clear review stage: the client wanted to know when drawings would be ready and to check a draft pack before the final files were released.

Our Solution

PlanCraftDaily scheduled the site visit for Tuesday 24 June 2025 at 10:30am and assigned a named surveyor, with contact details shared in advance to coordinate arrival and access. The client arranged a lockbox solution, and the surveyor called when on the way so the access code could be provided securely.

After the survey, the team set expectations for turnaround, advising an 8 working day drafting period (with a note that complex sites can require additional time to maintain quality). This kept communication clear and helped the client plan next steps.

A draft drawings pack was issued for review first. Once the client confirmed everything looked good, the final drawing pack and related files were issued, including the CAD file, PDF drawings and project photographs.

The Process

Agreeing Scope, Fee and Friday Access
We confirmed the required scope: plans, elevations and site boundaries at 1:100 scale on PDF sheets, including drawn scales and north points. We also confirmed who would coordinate access on the day and captured key constraints around an empty property and the client’s availability.
On-Site Survey
The site visit was booked for Tuesday 24 June 2025 at 10:30am. We shared the assigned surveyor’s contact details and agreed an arrival-call approach so access could be arranged via a lockbox code. This ensured secure entry without requiring the client to remain on site.
Cross-Checking Before Leaving
The surveyor attended site and completed the measured survey, confirming the visit went smoothly. With access managed securely, the team gathered the information needed to produce a reliable set of existing drawings. The client was kept informed and invited to share any additional requirements if needed.
Turning Survey into Plans and Elevations
We advised an 8 working day drafting period following the survey, subject to site complexity. The measured information was converted into CAD drawings and compiled into a draft drawings pack for review, allowing the client to check presentation, completeness and any details needed before final issue.
Draft Review and Final Handover
After the client confirmed the draft pack looked good, we issued the final deliverables. This included the final drawing set in PDF and the CAD (DWG) file, alongside project photographs. The client confirmed receipt and the project was closed with an open channel for any follow-up queries.
