Christian, an architect, contacted us to request floor plans only for a flat arranged over two levels above a shop on High Road in Wood Green. He was working closely with a planning consultant, Nananya, who would help coordinate access.

Because this was a compact, vertical flat over a commercial unit, the priorities were:

  • Clear, accurate two-level internal plans
  • Minimal disruption to the occupiers
  • A lean deliverable (plans only, no elevations) that could be plugged straight into their design and planning work.

Clarifying scope and quoting

Christian’s initial message was concise:

  • Floor plans only
  • Flat on two floors above a shop
  • Planning consultant to coordinate access

We replied with a formal quotation covering:

  • Measured internal survey of the two-storey flat
  • Existing ground and upper floor plans in CAD and PDF
  • Standard internal features (walls, openings, stair, key fixtures) appropriate for planning and design work

Once Christian had verbal confirmation from his client, he came back to say they were “good to go” and asked for survey dates and times so Nananya could coordinate with the occupiers. We then:

  • Proposed a specific date and time window
  • Issued the initial invoice, explaining that payment would secure and activate the survey slot.

Coordinating access – working with architect, planner and occupier

Access for flats above shops can be fiddly, and this one was no exception:

  • Christian supplied the occupier’s details so we could contact them directly.
  • The initial phone number turned out to be unreachable, so he looped in Nananya, who spoke to the occupiers and provided an updated contact route.
  • There were also small practical issues (e.g. a non-working intercom) that we resolved in advance so the surveyor wouldn’t be stuck outside on the day.

Once the initial payment landed, we sent Christian a confirmation email:

  • Acknowledging payment
  • Sharing the surveyor’s name, mobile number, and arrival window
  • Confirming the survey date as Monday 29th September, with arrival between 1:00 and 1:30 pm.

That gave both Christian and Nananya exactly what they needed to brief the occupiers.


Carrying out the measured survey

On the day, our surveyor attended as scheduled and completed:

  • Full internal measurements across both levels of the flat
  • Stair geometry and changes between levels
  • Key internal features that would affect future design decisions

Once the survey was complete, we moved the card to In Progress and began drafting the existing plans in CAD.


Draft drawings & quality check – spotting our own discrepancy

Within the following week or so, we had the existing plans ready in draft and emailed Christian with:

  • A short update that the drawings were almost complete
  • A draft PDF plan attached for review

During our internal QA, we noticed something we weren’t entirely happy with:

  • The horizontal dimensions of the front elevation window positions were not perfectly tying back to the internal room width.
  • It was a minor inconsistency, but enough that we didn’t want to ignore it.

Rather than letting it slide, we:

  1. Flagged the issue proactively to Christian.
  2. Explained that this was an error on our side.
  3. Offered to revisit the site at no additional cost to verify and tighten the dimensions before issuing the final set.

Christian checked with Nananya about how sensitive the project was to that level of precision. Nananya came back to say that, for their particular use case, the drawings “really don’t need to be that accurate” and that she was happy for us to finalise the draft without a revisit.


Final payment, CAD release and outcome

Once Nananya confirmed the plans were acceptable for their purpose, Christian arranged the final payment and emailed to say it had been made, asking for the CAD release.

We then sent the closing email:

  • Confirming that we had received the final payment
  • Sharing a link to all final drawings and related files
  • Re-attaching the final invoice and receipt for his records
  • Confirming CAD (DWG) files were now released, ready for design and planning work.

The Trello card was moved to Completed, with:

  • A clean, plans-only measured survey package for a two-storey flat above a shop
  • All access and coordination handled between architect, planning consultant and occupiers
  • A small measurement discrepancy identified and discussed openly, with the client making an informed decision based on their actual accuracy needs.

For us, it’s a good example of how we approach even compact “simple” projects: clear scope, careful QA, transparent communication when something doesn’t quite line up, and fast release of CAD once everything’s signed off.
