Kapil, an architect client we’ve worked with for a long time, contacted us about a single residential property in South Harrow. His clients needed accurate existing drawings to support upcoming extension and design work, but they were also very conscious of cost and timelines.
The key requirements were:
- A full measured survey of the property
- Clean existing drawings in CAD and PDF formats
- A reasonable turnaround so the design phase wasn’t held up
Because Kapil knows our process well, his main focus was on getting a realistic fee and locked-in survey date that worked for his clients’ diaries.
Agreeing scope, fee and timings
We started by preparing and issuing a formal quotation for the measured survey and existing drawings.
A few points were important at this stage:
- Kapil explained he was putting our invoice and availability to the end clients for approval.
- As a long-standing client, we offered a 15% goodwill discount on the total fee to support the project.
- Once the scope and discount were agreed, we issued the initial invoice and proposed survey dates.
To keep things flexible for the homeowners, we provided:
- An initial afternoon window on Wednesday 5th or Thursday 6th November (1:00–2:00 pm), and
- An additional option for a morning visit on the Wednesday (10:00–11:00 am) when it looked like that might be more convenient.
Once the clients confirmed, Kapil gave us the green light and arranged payment of the initial invoice.
Carrying out the measured survey
After payment was received, we:
- Confirmed the booking for Thursday 6th November, with an arrival window between 1:00 pm and 2:00 pm
- Shared the surveyor’s details so Kapil and the clients knew exactly who to expect on the day:
- Surveyor: Ali Uddin
- Contact: mobile number provided for coordination
On site, Ali followed our usual residential survey workflow:
- External checks
- Walked the perimeter to understand the overall massing and access points
- Used a laser disto and tape to capture key external dimensions, including wall lengths, projections and any changes in façade line
- Took a full set of external photographs (front, rear, garden and any outbuildings or key features)
- Internal measurements
- Worked room-by-room to record wall lengths, openings and ceiling heights, ensuring each floor was internally consistent
- Captured stair positions and floor level relationships, so sections and elevations would tie back accurately to the floor plans
- Logged enough detail that the CAD team could understand structural logic, not just room shapes
- Cross-checks and notes
- Cross-checked internal measurements against external wall lengths to catch any anomalies early
- Marked any areas needing special attention (e.g. offsets, unusual wall thicknesses, or areas where future extensions were being contemplated)
By the end of the visit, we had a complete dataset for the property: dimensions, photos and site notes ready for CAD drafting.
From measurements to drawings
Back in the office, our CAD team converted the survey data into a full draft drawings pack for 1 Swift Close (South Harrow):
- Accurate existing floor plans
- Clean elevations and any required sections
- A set of PDFs suitable for quick sharing and commenting
- Underlying DWG files prepared in our standard UK residential layering and annotation style
We first issued the draft drawings pack (PDFs) together with the final invoice. This gave Kapil and his clients a chance to:
- Check overall geometry and layout
- Confirm that the survey captured everything they needed for design and planning
- Flag any questions before we locked everything as “final”
There were no requested amendments, so once the final payment was made, we released:
- The final CAD files (DWG)
- Cleaned-up PDF drawings
- The site photographs, grouped with the drawing pack for easy reference
At that point, the Trello card was moved from “Approval / Finalisation / Pending” to “Completed”.
Managing communication and scheduling
Several small but important communication points helped the project run smoothly:
- Scheduling flexibility: Instead of insisting on a single slot, we presented Kapil with realistic options (including a backup morning slot) so he could coordinate with the clients.
- Transparent confirmations: At each stage we clearly confirmed:
- When invoices were issued
- When payments were received
- Which survey date and arrival window had been locked in
- Single point of contact: Kapil remained our main contact throughout, which kept messaging consistent and avoided confusion for the homeowners.
Because Kapil already trusted our process, this project moved quickly from quote → invoice → survey → drawings with minimal friction.
Final outcome
For this South Harrow home, we delivered:
- A complete, accurate set of existing drawings tailored to the architect’s design needs
- CAD + PDF outputs, ready for planning and design work
- A smooth, deadline-friendly turnaround of roughly two weeks from survey to final pack
- A discounted fee for a long-standing client, without compromising on survey thoroughness or drawing quality
Kapil’s clients now have a reliable base model of their property, and Kapil has clean, consistent files he can drop straight into his design workflow—exactly the sort of low-friction, “plug-in” support we aim to provide for regular architect partners.
